AI in the printing industry: the hype, the reality and the bit that pays
Nearly every print business now says AI matters. Very few are using it where the money is: in production. Here is what is really happening, where AI helps, where it breaks things, and how to get value from it without the risk.

// the gap
Everyone says AI matters. Almost nobody uses it on the production floor.
The same research found that the most common use of AI in print is generating design and marketing copy. Only 16% connect it to production automation, which is where the hours, the reprints and the margin actually are.
The barriers are not technical. 57% say they lack in-house experience, 56% are unsure where AI can best be used and 42% do not know where to start.
It is not just print. Deloitte's 2026 Global Leadership Technology Study, reported by WhatTheyThink, found more than 80% of IT leaders confident they can deploy AI at scale, yet 75% say their operating models and processes need major change before AI delivers value.
AI does not fix a broken workflow. It finds the cracks faster.
// where ai genuinely helps today
Six places AI earns its keep
Writing workflow scripts and configuration
AI is genuinely good at drafting scripts and settings from clear instructions. callas has shown it drafting pdfToolbox imposition scripts. A person still tests every result.
Explaining problems in plain English
Turning a technical preflight report into a clear message a customer can act on, so fewer files come back twice.
Sorting what comes in
Reading incoming emails and orders, pulling out the job details and routing them, with a person checking anything unclear.
Help inside the tools you own
Vendors are building assistants into their software. Enfocus has added an AI chatbot to PitStop to help operators find the right setting faster.
Estimating support
Suggesting a price or a route from past jobs, for an estimator to approve rather than send unchecked.
Finding the patterns
Spotting which customers, products or file types cause the most reprints and delays, once your workflow records them.
// where ai creates new problems
The risks nobody puts in the demo
AI-generated PDFs that fail preflight
In 2026 callas documented PDFs created by ChatGPT carrying provenance data that points to a file that does not exist. Those files cannot be PDF/X compliant as delivered.
Confident wrong answers
AI fills gaps with plausible guesses. A wrong stock, size or price that looks right is worse than an obvious error.
Customer artwork in public tools
Pasting customer files or data into consumer AI tools can break confidentiality agreements. Decide your policy before someone else does.
Automating the mess
AI on top of re-keyed data and undocumented processes just produces bad answers faster.
// a simple rule for every ai decision
The AI traffic light for print
Let AI act
Reversible tasks where the result is checked automatically: tagging files, drafting a report, sorting an inbox.
AI suggests, a person approves
Anything a customer will see or that costs money: quotes, schedules, customer messages, fixes to artwork.
Never without a person
Irreversible or contractual steps: committing a price, plating, cutting, deleting customer files, changing a live workflow.
Print it, pin it up, and run every AI idea in your business through it.
// where we can help
Get value from AI without the risk
AI readiness check
We look at your workflow, data and people and tell you honestly where AI would help and where it would not, as part of a workflow audit.
Fix the foundations
Single entry of job data and rules-based automation with Enfocus Switch and callas pdfToolbox. This is what AI needs to work from.
One safe pilot
Pick one use case, set the guard rails, measure it against a baseline and decide on facts, not hype.
Guard rails for AI files
Preflight that catches AI-generated PDF problems, a policy on Content Credentials, and review steps in the right places.

// questions
Straight answers
Will AI replace prepress operators?
No. It takes away repetitive checking and re-keying, but print still needs people for judgement, quality and the exceptions that no tool predicts. The businesses getting value use AI to make experienced people faster, not to remove them.
Where should a print business start with AI?
With the workflow, not the tool. Find where time is lost, get job data entered once and automate the routine with rules. Then pick one AI use case with a clear measure of success. Our Workflow Automation Score is a quick way to see where you stand.
Is customer artwork safe in AI tools?
It depends on the tool and its terms. Many consumer tools can use what you upload. Agree a clear policy on what can and cannot be shared, and prefer tools that run inside software you already control.
Why do AI-created PDFs fail preflight?
Some AI tools embed data in PDFs that print standards do not allow, such as references to external files. Up-to-date preflight catches and fixes this automatically. We explain it in AI in prepress.
Do you sell AI software?
No. We help you decide where AI fits, prepare the workflow for it and put the guard rails in place. If a tool we recommend involves a commercial relationship, we tell you upfront.
